Do I Really Need a Wedding Planner?

Engagement Season is around the corner, and we will soon be inundated with new inquiries from excited, newly-engaged couples.  This is actually my favorite time of year because I love meeting new couples and watching their anxiety fade after just a few minutes of speaking with them.  You just got engaged!   Where to even begin?   There is just so much to know, so many unsolicited opinions coming at you from well-intentioned friends, family and co-workers, so many vendor options, so many proposals that are impossible to compare to one another.  Yikes!

When a Bride or Groom first reaches out to us, it’s usually pretty clear that they don’t have any idea what they are supposed to ask (unless they’ve downloaded some “Questions to Ask” off of a site such as The Knot, WeddingWire, Martha Stewart Weddings or Brides).  The point is this … you simply don’t know what you don’t know!

If you retain nothing else during your entire engagement, I want you to remember what I’m about to tell you … no matter where you are in the wedding planning process, whether you literally just got engaged last night or you’ve secured some (or most) of your vendors, the single most important thing you can do for yourself and (and your family oftentimes) is to call a professional, experienced, educated wedding planning firm for an initial consultation.    The reason for this isn’t necessarily for you to hire a wedding planner.  Maybe you need one (of course you do) and maybe you don’t.  BUT I will tell you this – you’re foolishly making decisions and spending money if you have not consulted with an expert first.  Wedding planners see it all … they know the good, the bad, the pretty, the ugly, the inside reputations of venues and vendors and everything that goes along with all of it.   A professional, experienced and talented wedding planning firm should be able to consult with you, answer all of your questions, gently guide you if you don’t know what questions to ask, and allow you to exhale from the worry and overwhelming number of options you are immediately faced with when you get engaged.

Some couples tell us, “I’m not sure if we need a wedding planner but I thought it wouldn’t hurt to talk with you first.”  This is perfect and after we learn more about you, your wedding vision (if you have one yet), your personality and what is causing you the most anxiety, then we can help YOU decide if hiring a wedding planner is the right decision to you.    Hiring a wedding planner isn’t a luxury; in fact, it’s a brilliant decision for those couples who want the best of everything at the most cost-effective cost.  A professional planning firm (full-time office hours, planners who do nothing all day but plan weddings vs. wedding planning as a “side gig”) can direct you on how to spend your money wisely, effectively and determine what’s most important to you.

A planner may not be right for everyone, but a consult with a planning team IS THE RIGHT THING for every single couple.  Whether you choose Marrero Events or another professional planning firm, make smart decisions during your wedding planning process and educate and arm yourself with all the knowledge you can prior to securing any vendor or making any decisions about your wedding weekend!

When you are newly engaged, you tend to become inundated with information overload and it can be daunting to say the least. My advice to newly-engaged couples is to forgo the route of hiring all of your vendors until you’ve secured the right, professional, experienced wedding planner. Some couples feel it’s best to hire a “day of” coordinator and do the rest themselves, only to learn how much money could have been easily saved by avoiding costly mistakes and uneducated decisions along the way. The right planner should be your guide, your educator, your confidant, your representative along the way and you need to put your trust into this person as they do this every day and truly look out for your best interests from the start.

Don’t panic, it’s all overwhelming at first but it’s important to book the top 3 first-top priorities (if you’re not working with a planner) are to find your venue, photographer and band–then breathe! I also advise brides to wait to design the space until about 6 months before the wedding… You’ll be able to have a couple months thinking about ideas, pinning on Pinterest , etc… I find that so many of my clients go in with one idea and once they’ve relaxed and see what is out there or trending in their wedding year they change their idea of what their wedding looks like–so ultimately they get what they want instead of what they thought they wanted–big difference!

Once your venue is booked, the next step is to lock in your entertainment. In order to get the best DJ or band out there, you have to book well in advance. Remember, first and foremost? Your guests are going to remember if they had a good time. That’s why good entertainment is vital.

Always ask your entertainment vendor about their other recommended services. This is how you get the best deals without making a laundry list of phone calls. They may already have what you need and could save you time and money without sacrificing quality.

Lately couples are asking me if they should do the “first look”. My answer is always YES! The first reveal is always so sweet. The moment is far more emotion and allows for a more intimate/private moment with just the couple.

Some brides envision this grand moment when they are walking down the aisle, and the groom is sobbing… However, in reality, in a traditional formal setting with 200 people looking at you… The groom often looks like a deer in head lights. Not at all the magical moment you think it will be! So yes, do a first look!

Don’t do a winter e-session! People look freezing, and are super uncomfortable. Nothing like having dirty snow and branches coming out of everyone’s heads! Wait until the spring when the temperatures are higher, and the trees start to bloom. I highly suggest April-November.

Cinematography:

1. Make sure that your photographer and videographer work well as a team. Even better, choose a team where your photographer and videographer have worked together and enjoy the experience.

2. Ask your prospective wedding film maker how they operate during the wedding day. Will they have lights on their cameras? Will they be on the dance floor circling the couple during the first dance? Will they stand behind the officiant during the ceremony – Or will they stake out spots based on experience and fade into the decor?

3. Ask your toasters to limit toasts to under 5 minutes. 3 is even better. There’s not much they can say (that won’t be dumb or embarrassing) after a couple of minutes.

4. Invite your guests to leave their phones and cameras in their pockets or purses. You’re paying for pros to document your wedding – don’t let the amateurs get in the way!

5. When considering wedding cinematography, check out the sound as well as the images of potential pros. Capturing pristine sound of your grandfather’s blessing and knowing how to integrate it with music and image, is a complex art form. Don’t settle for pretty pictures if you already have a photographer you love. When it comes to film making, sound is 60% or more.

6. If you desperately want a top notch film maker to capture your wedding, and have a limited budget, consider one of the following:

a. Grab pics from the HD / 24 Frames per second of the video capture and forego the photographer.

b. Hire the film maker you want and see if you can work out a payment plan that works for you.

c. Opt for the best film maker you can afford, ask them to produce a short highlights now, and wait until you’ve financially recovered to have them edit the feature film.

The Best way to trim your budget is to trim you guest list (it literally makes every line item more affordable – period, the end)! (AMEN!!!!!!)

If you “absolutely love and have to have peonies” – know that you absolutely MUST select a wedding date in May or early-June!

Amee and Travis | Mass Horticultural Society / Elm Bank

Planning an Indian Wedding can be somewhat challenging due to the large number of vendors and guests involved, the venue logistics for all of the cultural components and the mix of cuisine, however, Amee and Travis’ wedding was one of the easiest and most beautiful weddings we have had the pleasure to plan in quite some time!   Amee and Travis are a lovely couple and it’s nearly impossible not to immediately be captivated by Amee’s engaging personality, elegance and fun-loving smile!  She and Travis wanted a smaller Indian Wedding – wait, do those words even go together??   After searching most of the unique venues in Boston and beyond, they decided that Massachusetts Horticultural Society / Elm Bank offered the perfect mix of natural beauty, outdoor space and second-to-none photo opportunities!   Beginning the day with Travis’ arrival on horseback, the mandap was set and guests arrived and were ready to celebrate with this amazing couple!  The tent was dripping in elegance and was draped in romantic fabric and chandeliers.  Amee’s gift to Travis was an adorable floral elephant which amused everyone!  LifeFusion Photography captured every moment of this magical day and didn’t miss one of the many details which were so much a part of this beautiful gem of a wedding!  Amee and Travis, it was a delight to work with you both and I truly know that you will live happily ever after ….

Winter Wonderland Holiday Party

Each year we are lucky to end our “season” by planning one of the most elegant events all year!  Our client hosts this annual party for their corporation and employees, and it is THE party of the season north of Boston!    The guests arrive to a private location where they are shuttled up to the main residence.  As they enter the residence, guests are greeted with an array of colorful and refreshing holiday cocktails as they enjoy the elegant decor designed by the Host’s wife, a fabulous interior designer.

Ahhh ….  Wisam and Jack … what an amazing couple!

Planning their entire wedding from across the country in Seattle made for a lot of fun phone calls indeed!  This adorable couple knew exactly what they wanted and, more importantly, what they did not!   With a fall wedding on the gorgeous grounds of the Crane Estate, the bride showed up looking absolutely glamorous in part due to the ladies at Demiche!  The ceremony on the grand allee was breathtaking, albeit a bit chilly for October, and the beauty that was created indoors by the talented Karla Cassidy Designs took everyone’s breath away!
